Terms and Conditions

The rules under which we host your event.

These terms set out the booking conditions for weddings, events, and functions held at The Lemnos and The Victorian. By making a booking with Clarence House Venues, you agree to these terms.

1. Acceptance and definitions

By making a booking with Clarence House Venues, you (“the Client”) agree to these terms and conditions in their entirety.

In these terms, “Clarence House”, “we”, “us”, and “our” means Clarence House Venues, including The Lemnos at 44 Albert St, Belmore NSW 2192 and The Victorian at 454 Burwood Rd, Belmore NSW 2192. “Event” means the wedding, function, or event for which the booking is made. “Venue” means the specific room booked.

2. Booking and confirmation

A tentative booking is held for a limited time pending receipt of a signed contract and deposit. A booking is confirmed only when we have received both the signed contract and the required deposit.

The Client confirms that they have full authority to enter into this agreement on behalf of any parties involved in the event.

3. Deposit and payment

A deposit is payable at the time of booking. The deposit is non-refundable and secures the date and venue.

Progress payments and final payment are due in accordance with the payment schedule set out in your signed contract. Final payment is due before the event, in line with the timeframe specified in your contract.

Payments may be made by electronic funds transfer or by other methods approved by Clarence House at the time of booking. All amounts quoted are in Australian dollars and inclusive of GST unless otherwise stated.

4. Cancellation and changes

All cancellations must be made in writing. Cancellation fees apply in accordance with the schedule set out in your signed contract. The deposit is forfeited in the event of cancellation.

Date changes are subject to availability and may incur a fee. Any change to the event must be agreed in writing.

5. Final guest numbers

Final confirmed guest numbers must be advised in writing in accordance with the timeframe in your contract. Guest numbers may not be reduced after this date.

Additional guests after the final confirmation are subject to availability and additional charges per head.

6. Food, beverage, and dietary

All food and beverage served at your event must be supplied by Clarence House. Outside food and beverage are not permitted, with the exception of celebration cakes by prior arrangement.

Dietary requirements, including allergies, intolerances, religious requirements (halal, kosher), vegetarian, and vegan, must be advised at the final guest numbers confirmation. We use commercial kitchens and cannot guarantee an environment that is entirely free from any specific allergen.

Responsible Service of Alcohol (RSA) laws apply at all times. Clarence House reserves the right to refuse service of alcohol to any guest at our sole discretion.

7. Decoration and external suppliers

External suppliers, including florists, decorators, entertainers, and photographers, are subject to approval by Clarence House. All external suppliers must hold current public liability insurance and must comply with the venue’s safety requirements and bump-in and bump-out times.

Decorations, signage, and attachments to walls, ceilings, or fixtures require prior written approval. Open flames are not permitted. LED candles and similar are acceptable. Confetti, glitter, rice, and similar items are not permitted inside the venue.

8. Music, sound, and noise

All entertainment, including bands and DJs, must comply with the venue’s sound limits and applicable local council noise regulations. Music must conclude at the time specified in your contract.

External entertainers are subject to the same approval process as other external suppliers.

9. Photography and media

Clarence House may take photographs and video of public areas during events for our internal records and for promotional purposes including our website, social media, and marketing materials.

By making a booking, the Client consents to the general promotional use of such material. If the Client objects to the use of photographs or video of the event for promotional purposes, this must be advised in writing before the event.

10. Insurance and liability

Clarence House holds public liability insurance covering the venue and its operations. The Client is responsible for the conduct of their guests and any external suppliers engaged by the Client.

To the extent permitted by law, Clarence House is not liable for indirect, consequential, or economic loss arising out of the event. Nothing in these terms excludes any rights or remedies that cannot be excluded under the Australian Consumer Law.

11. Damages and conduct

The Client is responsible for the cost of repairing or replacing any damage to the venue or its property caused by the Client, their guests, or their suppliers during the event.

Clarence House reserves the right to refuse service to any guest behaving inappropriately and to end the event early without refund where conduct breaches these terms or threatens the safety of guests, staff, or property.

12. Force majeure

Where the event is prevented or materially affected by circumstances beyond reasonable control, including but not limited to acts of God, natural disasters, fire, flood, government action, pandemic restrictions, or industrial action, Clarence House will work with the Client to reschedule the event to an alternative date subject to availability.

Refunds in force majeure circumstances are at the discretion of Clarence House and may be limited by costs already incurred on the Client’s behalf.

13. Privacy

Personal information collected in connection with your booking is handled in accordance with our Privacy Policy.

14. Governing law and jurisdiction

These terms are governed by the laws of New South Wales, Australia. The Client agrees that the courts of New South Wales have exclusive jurisdiction over any dispute arising from these terms or your booking.
